Christ Academy Parent Teacher Fellowship (PTF) Bylaws

Definitions:

  1. “School” shall mean Christ Academy (hereinafter, “CA”).
  2. “Organization” shall mean Parent Teacher Fellowship (hereinafter, “PTF”).
  3. “Administration” shall mean the Administration of Christ Academy.
  4. “Members” or “membership” shall mean the fully dues paid members of PTF.
  5. “Officer” shall mean any member of the PTF Executive Committee.
  6. “Executive Board” shall mean the body that administers the business of the PTF.
  7. “School Year”  Shall mean the period beginning on the first day of the school year and ending on the last day of the school year.

Article I.  Name of Organization:

The name of the organization shall be Christ Academy Parent Teacher Fellowship. 

Article II.  Purpose/Objectives:

The purpose of this organization is to promote and support Christ Academy as stated in the Student Handbook.

Primary Objectives are:

  • To foster a positive relationship between the teachers, parents and administration of Christ Academy.
  • To raise funds that allow for the purchase of designated items that benefit all Christ Academy Elementary students.
  • To enrich the education of Christ Academy students in order to secure high quality education.

Article III.  Powers:

  1. The organization will establish and maintain programs, committees to fulfill the above stated purpose.
  2. It will engage in using volunteers and fundraising activities to support these efforts.
  3. The PTF is non-commercial, non-sectarian, and non-partisan.  The PTF shall not attempt to direct the Administration’s work of the school.
  4. The name of this organization or the names of any members in their official capacities shall not be used in any connection with a commercial concern, with any partisan interest, or with any charitable organization for any purpose not related to promotions of the objectives for this PTF.
  5. This organization shall not contribute financially to any other organization without the approval of the Executive Board.

 

Article IV.  Membership, Dues and Voting Rights:

  1. Members shall be composed of parents and guardians of students attending CA, as well as teachers, school administrators and community members who have an interest in the well-being of the school and its students.
  2. A member shall be eligible for active membership upon payment of dues.  A member shall have the privilege of making motions, voting and holding office.
  3. Dues shall be determined annually by the Executive Board and shall be payable upon registration for membership.
  4. A membership drive will be held at the beginning of the school year with additional members accepted at any time during the school year.
  5. Persons who join during the membership year shall pay full dues for that school year.
  6. Term of membership shall be for (1) year.  The school year that the dues are paid.
  7. Each member shall be entitled to one vote on each matter submitted to a vote of the membership if present at the meeting at which such vote is taken.

 

Article VIII.  Duties of the Officers:

Any elected office may be shared by a Co-Chair.

  1. Duties of the President
    1. Preside at all Executive Board and PTF meetings; set the agenda
    2. Act as a liaison between the School Administration and the PTF
    3. Oversee annual fund raising projects(s)
    4. Coordinating the volunteer force needed to support and staff PTF programs, initiatives and activities as well as requests from the School Administration
    5. Monitor all committees, securing and organizing all chairmen
    6. Attend monthly meetings of the Board of Trustees of Christ Academy
    7. Ensure all contracts and/or legally binding documents are approved by the organization prior to signing
    8. Work with the Treasurer to develop an annual budget
    9. Serve as an ex-officio member of all committees except the nominating committee
    10. Provide a summary year-end report to give to the next President.

 

  1. Duties of President-Elect
    1. Act as an aid to the President; assisting in the duties assigned by the President
    2. Perform the duties of the President in the absence or disability of the President
    3. Automatically become President if that position is vacated
    4. Encourage and maximize the PTF membership
    5. Become the President the following year

 

  1. Duties of the Vice-President
    1. Act as an aid to the President-Elect

 

  1. Duties of the Secretary
    1. Record in permanent form the minutes of all meetings and make copies available for review and approval.
    2. Keep attendance records for all Executive Board meetings
    3. Responsible for any correspondence deemed necessary and perform other duties as may be delegated
    4. Keep a current copy of the PTF Bylaws, including addendums

 

  1. Duties of the Treasurer
    1. The Business Manager of Christ Academy will be the primary bookkeeper of the PTF funds.
    2. Work with the Business Manager of Christ Academy and get reports monthly.
    3. Records are to be available in reasonable time for review.
    4. Receive all monies for the organization, giving a receipt and accounting to the Business Manager for depositing them in the name of the organization in a bank approved by the Executive Board.
    5. Receive and maintain a copy of all checks for any deposit made.
    6. Present a financial statement when requested by the Executive Board.
    7. Keep the membership informed of expenditures as they relate to the budget.
    8. Prepare all necessary tax returns and maintain exempt status and year end report.
    9. See that the checking account as the appropriate signatories, and that checks are signed by two of the three signatures.

 

 Article IX.  Committees/Standing Committees Chairmen’s Duties

  1. Keep accurate records and descriptions of the committee’s activities.
  2. Serve no more than (2) two consecutive years as chairman of the same committee.
  3. Maintain records of all expenses and profits according to the treasurer’s accounting procedures.

 

Article X.  Nominating Committee

  1. Composite of Nominating Committee shall be the Vice-President, and two board members and two members at large appointed by the Board.
  2. Issue a notice to the membership to solicit the names of members who may want to serve as an officer.
  3. Notify the membership of the upcoming election; present its recommended slate of officers to be elected before the end of the school year.
  4. Voting Process:
    1. Slate is presented at a membership meeting
    2. Additional nominations taken from the floor before the vote.
    3. Written proxy or absentee ballot is not an option, or before the vote.
    4. In case of a tie, the PTF Board of Directors will cast the deciding vote.

 

Article XI.  Fund-Raising

  1. Established every year by the president, Executive Board and the Director of Christ Academy.
  2. Distribution of accrued profits by the PTF fundraisers shall be distributed at the discretion of the PTF board with input from membership and school administration.
  3. Review of fundraising events for their appropriateness and potential value shall be on an annual basis.

 

 Article XII.  Parliamentary Authority

The rules contained in Robert’s Ruled of Order, Revised, shall govern the PTF in all cases in which they are applicable except if they are in conflict with these Bylaws.

 

Article XIII.  Dissolution

  1. Upon the dissolution of the PTF, and remaining funds shall be used to first pay any outstanding debts.
  2. Remaining funds with the membership’s approval, shall be spent for the benefit of Christ Academy and/or distributed to one or more nonprofit organizations which have been established as tax-exempt under Section 501(c)(3) of the Internal Revenue Code.

 

Article XIV.  Amend Bylaws

  1. Amendment of these bylaws may be by two-thirds vote of the members present and voting at any general meeting of the PTF provided that the proposed amendment has been presented to the PTF Board of Directors prior to the Vote.
  2. Automatic, grammatical, punctuation and correlation corrections in these Bylaws which in NO WAY alter the intent of the respective Bylaws shall be effected by the Board of Directors.
  3. Appointment of a committee to submit a revised set of By-Laws as a substitute for the existing By-Laws can be done by a majority vote at those attending a meeting of the PTF, or by a two-thirds vote of the Executive Board.
  4. Requirements for adoption of a revised set of By-Laws shall be the same as in the case of an amendment.

 

Programs

Family Movie Nights  - These include a current movie release that is appropriate for all children of Christ Academy.

 We serve pizza, popcorn, candy and drinks.  You bring your blanket and pillow and join us in the gym to enjoy a fun and entertaining family event.

Teacher Shopping Day  - The PTF provides a parent volunteer to fill in for a “Day of Shopping” for each teacher.  This is held in November & December. 

Box Tops for Education – Box Tops are on many items you purchase.  You can go to BoxTops4education.com for a complete listing of items that include the coupons.  These are worth .10 per label.  All proceeds from this program go directly to a need for the entire school.  Past purchase from Box Tops were: To purchase musical instruments and other items needed in music program, Portable PA system, (used at movie nights and other events), Program for the RenWeb to help with re-enrollment.

Praying Parents – This is a group that meets once a week in the Chapel for prayer time for our school and families.

Fundraising

Fundraising is so much more than asking for money.  It is a GREAT way to become involved with Christ Academy.

How can you Support a Fundraiser?  Purchase from the fundraisers, share the information with family, friends, and coworkers, neighbors.

How can you volunteer?  Contact any member of the PTF Board members. We are always looking for help in many areas.  You can volunteer as much or as little as possible.  It is a great way to get to meet more families within the school.  A Great way to make a Friend Forever.

The PTF cannot raise money for Christ Academy without your help.
